Responsible for managing and overseeing the daily activities related to new matter intake and client billing and collections. The role includes supervising finance team staff, supporting timekeepers with billing and collection challenges, managing accounts receivable, preparing client bills, and generating customized reports. The position requires a deep understanding of general accounting principles, specific billing requirements and ethical considerations relevant to legal services. Strong interpersonal and organizational skills, attention to detail, and proficiency with billing software are essential.

In this role, you will:

  • Oversee the new matter intake and conflicts check process.
  • Set up and manage special billing arrangements, rates, and disbursements.
  • Manage the month-end process for all timekeepers.
  • Work closely with attorneys, legal assistants, and finance team members to make sure pre-bills and invoices are accurate, sent on time, and meet client requirements.
  • Meet with partners to discuss billing and collections goals, objectives, and issues.
  • Review and resolve outstanding billing issues.
  • Communicate with clients on behalf of partners as needed.
  • Prepare bills, internal forms, and backup documentation, write-offs, transfers, retainer/on-account applications, and follow up on processing.
  • Assist in training staff and attorneys on new matter opening, conflicts, and billing processes and procedures.
  • Prepare reports for management team and individual timekeepers regarding billable hours, billings, collections, A/R, and other key metrics.

QUALIFICATIONS:

  • Bachelor’s degree required.
  • Minimum 7 years of legal billing experience; law firm experience required.
  • Proficiency with legal accounting and e-billing systems; SurePoint/LMS+ experience highly preferred.
  • Strong organizational and analytical skills.
  • Strong computer proficiency in the following Microsoft Office programs – Excel, Outlook, and Word.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Interpersonal skills necessary to communicate in person, by e-mail, and telephone to provide information with courtesy and tact to clients, attorneys, and other staff members.
  • Display a high degree of confidentiality and professionalism in all workplace interactions.
