A top law firm in Philadelphia is seeking a strong Litigation Legal Administrative Assistant to support two Litigation Department Chairs and two Employment Law Partners. This is a key replacement role supporting a high-volume, sophisticated litigation practice.

Successful candidates will be highly focused with a strong attention to detail; handle confidential information discreetly, have excellent technical and interpersonal skills, sound judgment; ability to prioritize workload, balance several projects simultaneously; be flexible; and possess solid written and oral communication skills. Requirements include demonstrated proficiency with MS Word (using Styles and automatic numbering and formatting software), Excel, PowerPoint, Outlook, Adobe Pro, PDF Docs, Workshare Compare or similar redlining software is strongly desired. Prior document management experience is preferred.

• Responsibilities include:
• Create, draft, format, edit, proofread, and manage Word documents, Excel spreadsheets, PowerPoint presentations, draft routine business correspondence, forms, and documents all under the supervision of your attorneys
• Manage attorney calendars, including scheduling meetings, court appearances, depositions, and deadlines; arrange for conference rooms and ensure clients and guests are added to security list for in-house meetings
• Collect and prepare information to run conflict checks, open new client matters, draft engagement letters
• Prepare, organize, and process reimbursements and invoices in a timely manner
• Organize and maintain case files, both paper and electronic, ensuring all materials are up-to-date and easily accessible; Assist in preparing exhibits, trial binders, and other materials for hearings, depositions, and trials; responsible for downloading documents from court sites, obtain transcripts from court reporters and save all on the firm’s system
• Experience with Electronic Court Filings and familiarity with Federal and State filing requirements; service of complaints and motion practices; compile and organize documents required for e-filing and filing legal documents with courts
• Collaborate and support team members within the department in providing ongoing support to attorneys and clients while maintaining a positive attitude
• Effective time management skills to balance workload and efficiently prioritize requests; proactive in anticipating the business needs of the assigned attorneys
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Perform other administrative tasks as assigned.

Requirements: Prior law firm experience as a Litigation Legal Assistant or Legal Administrative Assistant, strong litigation knowledge, excellent organization, and a polished client-facing presence.

Compensation & Schedule:$80,000 – $90,000Hybrid: 3 days in office9:00 a.m. – 5:00 p.m. (35-hour week; OT paid over 40)
