Controller
The Controller works under the direct supervision of the Executive Director to assist in the management of the financial operations of the firm.
This is a full-time in-office position. It may require additional hours and occasional evening/weekend hours to meet deadlines.
Accounting Related
- Prepare monthly and annual financial statements, including monthly reports for origination, billable hours, cash receipts, etc.
- Monthly preparation of Partnership distributions
- Payroll preparation and processing, including PTO updates and balance tracking
- 401K contribution processing and transmissions
- Management of the IOLTA account
- Monthly Bank reconciliations
- Credit card reconciliations and receipt verification
- Complete vendor requests for enrollment in their systems
- Onboarding new employees into payroll, health insurance and other benefits
- Accounts payable and accounts receivable, including posting payments, collections and annual 1099 preparation
- Business and attorney license tracking and renewals
- Tracking budgets related to firm projects
- Work in coordination with firm CPA for finalizing all year end reports for tax preparation
- Prepare annual application and renewals of insurance policies
- Assist with client proposal preparations and submission
- Assist with vendor relationships and renewals of office equipment contracts
- All other duties as assigned by Partners or Executive Director
Required Experience, Skills and Abilities
- Bachelor’s degree in related field, master’s degree is strongly preferred
- At least five to seven years’ related experience, preferably in a professional services industry, and ability to apply that experience to a wide range of situations
- Excellent attention to details and organization skills
- Superior written and verbal communication skills
- Excellent interpersonal and client service skills
- Ability to manage unexpected and sometimes urgent firm or client matters as they arise
- Understanding of accounting practices
- Project management skills
- Demonstrated time management skills and ability to meet deadlines
- Advanced computer skills, including proficiency in Microsoft Office Suite, especially Excel
- Ability to work effectively with minimal supervision
- Knowledge of office machines and equipment
This is an exempt position and not eligible for overtime.
