We are currently looking for a motivated and experienced Litigation Legal Assistant. The position will provide legal assistance to attorneys, focusing on detail and accuracy. The Litigation Legal Assistant will ensure all data and legal documents are complete and error-free, meticulously reviewing all work for
discrepancies.
Essential Functions:
Litigation Legal Assistant with a strong litigation background, capable of working with attorneys and independently.
- Perform daily administrative tasks including answering, screening telephone calls and taking messages for attorneys;
- Editing and revising documents; extensive use of Compare Docs
- Assist with document conversion and clean up; create and revise legal documents adhering to Firm styles and guidelines;
- Facilitating effective communication;
- Monitor Outlook Calendar
- Court filings through the E-filing system for both Federal Court, State Court and Bankruptcy Court;
- Services of Documents;
- Create and edit Tables of Authorities and Tables of Contents using Best Authorities;
- Enter and edit attorney time entries through Intapp Time;
- Fill out expense reports;
- Filing documents in case files;
- Assist attorneys in preparing for trials by organizing exhibits, preparing trial binders, and coordinating logistics for court appearances.
- Preparing outgoing mail and sorting incoming mail;
- Perform day to day duties of department secretary;
- Lite Paralegal work;
- Non-legal research; set up reservation for travel and restaurants.
- Involvement in some aspects of billing.
- Assist other Legal Assistants as support during absences.
Competencies:
- Strong administrative skills with an emphasis on excellent attention to detail and organization
- Ability to work independently and complete a high volume of work in a timely manner;
- Ability to multitask and prioritize assignments while consistently delivering quality work product;
- Proven experience performing under pressure in a fast -paced environment, both individually and within a team setting;
- Flexibility to occasionally arrive early or stay late as necessary;
- Proficiency with Microsoft Office, particularly Windows 10, Microsoft 365, Word, Outlook, Excel, Teams, Kofax Power PDF, iManage Document Management System, Best Authority, Intapp Time, Intapp Billstream, Legal Numbering, Litera Compare, Big Hand Dictation, Zoom and
DocuSign;
- Strong written and verbal communication and interaction with support staff, professional staff and clients;
- Holds a current Notary Public commission or will acquire within the first 6 months of employment;
- Professional demeanor, appearance and positive attitude.
Education and Experience:
- 5+ years of law firm experience
- High School Diploma required, Associate/Bachelor’s degree preferred
