The Manager, Operations and Personnel will play a key role in supporting the smooth functioning of the firm’s administrative operations and personnel-related processes. This individual will oversee day-to-day operational needs, coordinate office-specific initiatives, and work with the Executive Director, Operations and Personnel, to ensure that the firm’s people and resources are managed efficiently and effectively.
Key Responsibilities include, but are not limited to:
Operations & Administration
- Lead office-specific events, including planning, logistics, communications, and execution.
- Oversee the administration and timely completion of industry surveys.
- Manage the timely completion of annual training programs.
- Manage office seating assignments.
- Review and approve staff timecards for accuracy and compliance with firm policies.
- Support processes around verifications of employment.
- Support initiatives of the Associate Liaison Committee.
- Support initiatives of the Green & Wellness Committee.
Personnel & Staffing
- Support staff search processes, including drafting job postings, coordinating with recruiters, scheduling interviews, and facilitating hiring decisions.
- Facilitate background check processes for candidates.
- Support work with outside immigration counsel, including facilitating visa applications, renewals, and related documentation.
- Support coordination of the Paralegal team.
- Assist with onboarding new hires, ensuring smooth integration into the firm, and following up on internal procedures related to new arrivals.
Qualifications
- Bachelor’s degree.
- Minimum 8-10 years of relevant and progressive law firm experience in event planning, recruiting, and administration.
- Strong organizational and project management skills, with the ability to handle multiple priorities in a fast-paced environment.
- Excellent interpersonal and communication skills, with the ability to interact effectively with staff and attorneys at all levels.
- Demonstrated ability to maintain confidentiality and exercise discretion in sensitive matters.
- Flexibility to adjust hours to meet operating and business needs.
- Proficiency in Microsoft Office Suite.
This is currently a hybrid position with an expectation of a minimum of three days a week in office, with the needs of the Firm informing overall office attendance expectations.
