An award-winning law firm seeks a highly organized and professional Legal Secretary to support attorneys and partners in a dynamic legal environment. This role demands excellent multitasking abilities, strong attention to detail, and refined communication skills. A hybrid work schedule may be considered after an initial trial period.
Responsibilities:
- Provide high-level administrative support, including scheduling meetings, managing calendars, and arranging domestic travel.
- Prepare, format, and proofread legal documents related to discovery and trial preparation, including briefs, pleadings, exhibits, tables of contents, and tables of authorities
- Coordinate schedules and logistics for Partners and Associates, including court appearances and client meetings.
- Draft and send approved communications on behalf of attorneys; manage sensitive and confidential information with discretion.
- Organize and maintain case files, legal records, and document management systems.
- Process and manage expense reports via Concur.
- Enter time for principals.
- Provide gatekeeping support for sensitive documents and communications.
- Exercise independent judgment and demonstrate strong problem-solving, proofreading, and prioritization skills.
- Manage incoming and outgoing mail for assigned attorneys.
- Perform general office support and administrative tasks as assigned.
Qualifications:
- Bachelor’s Degree required.
- Minimum of 5+ years of administrative experience, preferably in a law firm or professional services environment.
- High proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).
- Strong writing, communication, and proofreading skills.
- Familiarity with legal software systems a plus.
- Working knowledge of legal terminology, procedures, and court filing systems.
