An esteemed and award-winning law firm is seeking a highly organized, detail-oriented, and professional Legal Secretary to provide comprehensive administrative support to attorneys and partners in a fast-paced legal setting. The ideal candidate will demonstrate exceptional multitasking capabilities, excellent communication skills, and the ability to maintain discretion with sensitive information. A hybrid work arrangement may be offered following a successful initial onboarding period.
Key Responsibilities:

Deliver high-level administrative support, including calendar management, meeting coordination, and domestic travel arrangements.

Prepare, format, and meticulously proofread legal documents for discovery and trial preparation—such as pleadings, briefs, exhibits, and tables of contents and authorities.

Coordinate schedules and logistics for court appearances, client meetings, and internal events on behalf of Partners and Associates.

Draft and distribute approved correspondence; manage confidential information with professionalism and discretion.

Maintain and organize legal files, records, and document management systems in compliance with firm procedures.

Process and submit attorney expense reports using Concur.

Accurately enter attorney time records for billing purposes.

Serve as a gatekeeper for sensitive documentation and communication.

Exercise sound judgment while handling competing priorities, problem-solving, and proofreading with accuracy and attention to detail.

Manage inbound and outbound mail and general office correspondence for assigned attorneys.

Perform other administrative duties as required to support legal operations.
Qualifications:

Bachelor’s degree required.

Minimum of 5 years of administrative experience, preferably in a law firm or professional services environment.

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Strong written and verbal communication skills, with a keen eye for grammar and detail.

Familiarity with legal practice management and document software is a plus.

Working knowledge of legal terminology, procedures, and court filing systems.
