An esteemed and award-winning law firm is seeking a highly organized, detail-oriented, and professional Legal Secretary to provide comprehensive administrative support to attorneys and partners in a fast-paced legal setting. The ideal candidate will demonstrate exceptional multitasking capabilities, excellent communication skills, and the ability to maintain discretion with sensitive information. A hybrid work arrangement may be offered following a successful initial onboarding period.

Key Responsibilities:

  • Deliver high-level administrative support, including calendar management, meeting coordination, and domestic travel arrangements.

  • Prepare, format, and meticulously proofread legal documents for discovery and trial preparation—such as pleadings, briefs, exhibits, and tables of contents and authorities.

  • Coordinate schedules and logistics for court appearances, client meetings, and internal events on behalf of Partners and Associates.

  • Draft and distribute approved correspondence; manage confidential information with professionalism and discretion.

  • Maintain and organize legal files, records, and document management systems in compliance with firm procedures.

  • Process and submit attorney expense reports using Concur.

  • Accurately enter attorney time records for billing purposes.

  • Serve as a gatekeeper for sensitive documentation and communication.

  • Exercise sound judgment while handling competing priorities, problem-solving, and proofreading with accuracy and attention to detail.

  • Manage inbound and outbound mail and general office correspondence for assigned attorneys.

  • Perform other administrative duties as required to support legal operations.

Qualifications:

  • Bachelor’s degree required.

  • Minimum of 5 years of administrative experience, preferably in a law firm or professional services environment.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Strong written and verbal communication skills, with a keen eye for grammar and detail.

  • Familiarity with legal practice management and document software is a plus.

  • Working knowledge of legal terminology, procedures, and court filing systems.
