A prestigious law firm in New York City is seeking a highly organized and detail-oriented Administrative Assistant to support a team of attorneys and legal professionals. This in-office position is ideal for someone with a strong administrative background in a legal setting who thrives in a fast-paced environment and is passionate about providing high-level support.
Key Responsibilities:

Answer incoming telephone calls, greet clients, and provide general information and assistance.

Open new legal matters and manage time entry using Carpe Diem.

Prepare and process attorney expense reports in a timely manner.

Maintain and update project and client files to ensure accurate documentation.

Conduct legal research and perform administrative support tasks for attorneys.

Create and format high-quality documents, presentations, and correspondence using Microsoft Word, Excel, PowerPoint, and PDF tools, including charts, tables, TOCs, and TOAs.

Establish, organize, and maintain efficient filing systems, including classifying and sorting media clips, records, and correspondence.

Use sound judgment and discretion when screening calls and visitors; manage schedules, appointments, and travel arrangements.

Handle sensitive and confidential information in accordance with legal and ethical standards.

Proofread and edit all written materials with exceptional attention to accuracy, grammar, and clarity.

Coordinate the client billing process: distribute bills to clients and serve as the liaison between clients and the billing department.

Revise, compare, convert, and format legal documents to adhere to firm standards and guidelines.

Manage complex document markups including redlining, Track Changes, and document versioning.

Create and revise tables of authorities (TOA) and tables of contents (TOC) for legal filings.
Minimum Qualifications:

Bachelor’s Degree required.

Advanced proficiency in Microsoft Office 2024 (Word, Excel, PowerPoint, Outlook) and PDF Converter Enterprise.

Excellent command of the English language, including grammar, spelling, and syntax.

Strong organizational, interpersonal, and administrative skills.

Outstanding attention to detail with the ability to multi-task effectively in a deadline-driven environment.

Exceptional written, verbal, and proofreading skills.
