A mid-sized New York City law firm is seeking an experienced Managing Clerk & Litigation Paralegal to oversee all court filings, maintain the litigation docket, and provide paralegal support to attorneys. This role requires extensive knowledge of court rules and procedures, as well as assisting with case management, organizing exhibits for motions, depositions and trials, and making court appearances for filings and other required matters.
Managing Clerk Duties:
• Manage, oversee and maintain the firm’s litigation docket, ensuring all deadlines are tracked and met.
• Coordinate and handle the filing of pleadings, motions, and other legal documents in federal, state, and appellate courts, both electronically and in person.
• Stay up to date with court rules and procedural changes, including Judge’s individual rules and practices and have responsibility to advise attorneys on compliance.
• Maintain an organized system for tracking court deadlines and case developments.
• Manage service of process and act as liaison to process servers, court clerks, and opposing counsel as needed.
• Monitor case progress in individual courts, obtain and review court orders, decisions, and case law updates relevant to ongoing matters.
• Keep abreast of developments, procedures, and rules of the forums where the firm practices.
• Responsible for understanding and researching court procedural rules and determining if the firm’s procedures need to be updated.
• Effectively communicate and present information as well as respond to procedural questions from attorneys and staff.
Litigation Paralegal Duties:
• Conduct fact research.
• Assist attorneys with discovery, including document production, review, and organization.
• Maintain online case files.
• Prepare exhibits, deposition and trial binders, and other litigation materials.
• Communicate with court personnel regarding case filings, scheduling, and procedural issues.
• Preparation and filing of Notices of Appearance. Notices of Entry, and Notices of Appeal
• Assist in drafting pleadings, motions, and other court documents.
• Summarize depositions, witness statements, and other case-related documents.
• Attend court hearings, conferences, and trials as necessary.
• Train new paralegals.
• Oversee responses to audit response letters; coordinate with attorneys to gather information to meet auditor deadline.
Qualifications & Requirements:
• Minimum 5+ years of experience as a managing clerk, litigation paralegal, or in a similar legal support role.
• Strong knowledge of New York State and federal court procedures, e-filing systems (NYSCEF, PACER, ECF), and local court rules.
• Must be familiar with litigation practice and be able to quickly and accurately determine which documents and filings trigger future deadlines.

• Ability to manage multiple deadlines and work in a fast-paced environment.
• Strong organizational skills and attention to detail.
• Proficiency in Microsoft Office Suite and legal research databases (Westlaw, LexisNexis).
• Experience working with attorneys on litigation matters and case management.
• Must be willing and able to travel to court for filings, research, and case-related matters.
Preferred Qualifications:
• Paralegal certificate from an ABA-approved program.
• Prior experience working in a mid-sized or large law firm business litigation department.
• Familiarity with litigation support software and case management systems.
• Familiarity with and/or participation in Managing Attorneys’ and Clerks’ Association.
