Position Summary:
The Marketing Coordinator supports the firm’s marketing initiatives across multiple offices. The Marketing Coordinator works closely with individual attorneys, practice groups, staff in various departments across the firm, and vendors while developing skills in a fast-paced, collaborative environment. Under the supervision of the Marketing Director and Marketing Manager, the Marketing Coordinator plays a key role in maintaining and updating marketing materials, updating tracking and process documents, updating website content, drafting client alerts and invitations, assisting with ranking submissions, managing the firm’s holiday gift program, assisting with proposals, pitches and RFPs, handling sponsorship follow-up needs, and coordinating firm events. The Marketing Coordinator manages various systems used by the department including SiteImprove, LinkedIn Sales Navigator, JD Supra, Concep, Harvey.AI, and any other product adopted by the firm, while providing comprehensive support for our greater Marketing Department on special projects or administration, generally. The tasks and products referenced are examples. This list is not intended to be exhaustive of the assignments that may be given and requires a team player with diverse skills to assist the department with whatever is necessary.

Key Responsibilities:
• Marketing Materials: Maintain and update firm marketing materials such as pop-up banners, one-pagers, brochures and giveaways ensuring consistency and alignment with the firm’s brand guidelines and work closely with our vendor relationships to develop and execute timely and accurate production.
• Event Planning: Coordinate and assist with the planning and execution of practice group retreats, webinars, sponsorship activities and high-profile client and referral source events.
• Database Management: Take ownership of the firm’s contact management for attorneys and practice groups alike, ensuring accurate and up-to-date records within Concep.
• Tracking & Analysis: Track marketing initiatives, attorney board service, and events using spreadsheets, and analyze return on investment (ROI) and other metrics.
• Sponsorship & Charitable Activity: Manage follow ups and details as needed for various sponsorship and charitable activities, as well as track the activities within the ROI tracking spreadsheet.
• Communications: Create and distribute client alerts, newsletters, and other firm communications while working directly with attorney points of contact.
• Practice Group Support: Provide support to other marketing colleagues for their assigned practice groups as needed with administrative tasks such as registrations, coordinating meetings, designing invitations or ads, or assisting with pitch packets, proposals or RFPs.
• Content Development: Update and maintain the firm’s website content, with specific focus on attorney bios as it relates to their recognitions as well as presentations and publications. Assist with social media posts as needed and work directly with the Chief Marketing Officer on collecting and preparing content for the firm’s weekly internal newsletter.
• Marketing Onboarding & Headshots: Provide detailed orientation follow up to all new attorneys and senior staff which includes creation of signature blocks, obtaining contact lists, and coordinating headshots while maintaining an organized photo library.
• Rankings & Directories: Draft, finalize and submit responses to ranking directories and surveys such as Chambers, IFLR1000, Benchmark Litigation, etc.
• Special Projects: Manage the holiday gift program and any other projects deemed necessary by the Marketing Director or Chief Marketing Officer.

• Software Proficiency: Experience with website maintenance, contact management systems, and tracking metrics using spreadsheets. Familiarity with social media platforms, email marketing platforms, and design software such as Canva or InDesign (preferred but not required).
• Technical Proficiency: Intermediate knowledge of Microsoft Office Suite and capable of producing quality written communications such as memos, spreadsheets, slides, and other standard work documents.

Education & Experience:
• The position requires a Bachelor’s degree, preferably in Marketing, Communications, Business Administration or a related field.
• 1-2 years of experience in a marketing or business development role, preferably within legal or another branch of professional services.
