Responsibilities and Duties
Client Service & Relationship Management
- Assume a “client service” role, maintaining an understanding of each client’s relationship.
- Anticipate client needs, respond to requests in a timely manner, and ensure superior quality and accuracy in deliverables.
- Nurture, develop, and maintain professional working relationships with HomeBase clients, their family members, and external advisors while upholding discretion, confidentiality, and respect for client privacy.
Strategic & Organizational Support
- Partner with management in contributing to the organizational vision and future planning.
- Perform semi-annual reviews of client deliverables and annual reviews with attorneys.
- Update and maintain client binders, including account summaries, EINs, trust documents, and tax returns.
- Oversee client onboarding, bill pay, distributions, and investments.
Account Management & Compliance
- Open new accounts and maintain required documentation.
- Establish customized bill pay approval protocols for each client and communicate them to bill pay/trust specialists.
- Review client transactional activity for proper classification and reporting.
- Conduct a “first review” of non-recurring invoices for reasonableness and validation to detect errors or billing fraud before forwarding them to the bill pay specialist.
- Review monthly and quarterly billing reports.
Tax & Financial Reporting
- Create and maintain tax calendars for clients, ensuring timely filings in coordination with the bill payable specialist.
- Review 1099s and 1099-NECs before distribution to clients and/or their accountants.
- Maintain professional relationships with HomeBase clients’ external advisors, including accountants, tax professionals, investment managers, insurance agents, and bankers.
- Review trust account inventory records, including insurance policies, real estate holdings, stock warrants, partnerships, and more, identifying mistakes and issuing corrections.
Special Projects & Wealth Portal Support
- Support clients’ HomeBase Wealth Portal, working with the Onboarding Project Manager to configure each portal based on client expectations and needs.
- Coordinate account LOAs for data aggregation services.
- Validate the accuracy of clients’ Wealth Portals and upload necessary documents (passports, appraisals, insurance policies, K-1 statements, trust documents, W-9s, etc.).
- Serve as the primary contact for client-facing portal inquiries.
Customized Reporting & Financial Analysis
- Prepare holistic financial reports incorporating trust, bank, retirement, credit, investment, and philanthropic accounts.
- Develop budgets, cash flow reports, and fiduciary accountings, and identify liquidity needs when requested.
- Coordinate and review reports with the Alternative Investment Specialist for capital calls, distributions, IRR, remaining commitments, interfamily loans, and foundation reporting.
Qualifications
- Experience: At least 2-3 years of financial services experience required.
- Knowledge: Familiarity with trusts, fiduciary accounting, and investments preferred.
- Education: Bachelor’s degree in Accounting or a related field preferred.
- Skills:
- High emotional intelligence (EQ).
- Strong attention to detail, analytical skills, and organizational abilities.
- Professional written and verbal communication.
- Ability to work effectively with attorneys, staff, and vendors.
