The legal assistant furnishes administrative and secretarial support for multiple attorneys. Performs transcription of legal documents, correspondence, contracts, or briefs. Reviews and edits prepared documents for accuracy. This position reports to the Director of Operations. This person must have 3+ years of experience in the legal industry.
ESSENTIAL FUNCTIONS
- Experienced in managing electronic court filings in compliance with Pennsylvania state and federal court requirements, ensuring accurate and timely submission of legal documents through PACFile, ECF, and other e-filing systems.
- Communicates effectively with clients and other external and internal administrative personnel.
- Manages schedules; coordinates and organizes meetings and travel.
- Creates and transcribes legal documents, correspondence, contracts, and briefs.
- Proofreads and edits prepared documents for accuracy.
- Enters and closes time per the attorney’s preference.
- Edits client bills and manages the billing process in coordination with the Financial Services Department.
- Maintains open communication with attorneys and supervisors regarding assignments, workflow, and attendance.
- Provides general administrative support, including greeting clients and guests, sorting and distributing mail and deliveries, and stocking supplies for conference rooms and office areas.
- Understands, prepares, and handles e-filing for various courts as required.
- Performs research and maintains files and attorney calendars.
OTHER FUNCTIONS
• Understands the practice area(s) in which support is provided.
• Maintains open communication with supervisor regarding assignments, workflow and attendance.
REQUIRED EXPERIENCE, LICENSES, CERTIFICATIONS, ABILITIES, OR KNOWLEDGE
• A minimum of three to three years’ experience as a legal secretary or legal assistant.
• Ability to communicate clearly, both orally and in writing.
• High level of proficiency in Microsoft Office applications including MS Word, Excel, PowerPoint, and Outlook, as well as experience in working with styles and document comparison software. Keyboarding speed at least 60 words per minute.
• Ability to prioritize and organize multiple tasks.
• Attention to detail and problem-solving ability.
• Ability to operate effectively under pressure.
• Understanding of legal terminology.
• Ability to deal discreetly with confidential information.
MINIMUM EDUCATIONAL REQUIREMENTS
• High school degree or equivalent.
WORKING CONDITIONS AND SAFETY HAZARDS
• Occasional overtime work may be required throughout the year.
