Job Summary:

As the Office Administrator/Receptionist for our Washington, D.C. office, you will play a crucial role in maintaining office efficiency and creating a positive first impression for visitors and clients. We are looking for a highly organized and creative individual capable of multitasking in a fast-paced environment.

Primary Responsibilities:

  • Greet and welcome guests and clients in-person and over the phone, ensuring exceptional customer service.
  • Direct phone calls to the appropriate contacts, relay messages promptly.
  • Act as a liaison for building administration, vendors, and office facilities.
  • Provide a professional experience for candidates visiting the office.
  • Manage keycard access, maintain phone lists, and oversee office cleanliness.
  • Coordinate catering and event planning for onsite and off-site events.
  • Handle conference room scheduling and setup before/after meetings.
  • Oversee mail sorting, receive deliveries, and coordinate courier services.
  • Assist with travel arrangements, conference registrations, and attorney reimbursements.
  • Provide administrative support for attorneys and assist with ad hoc projects.
  • Maintain office supplies, kitchen inventory, and oversee office equipment.

Experience & Qualifications:

  • Bachelor’s degree and 2-3 years of work experience in a corporate or professional services environment.
  • Prior reception and admin support experience preferred with a professional demeanor.
  • Excellent communication and customer service skills; adept at multitasking.
  • Proficient in Microsoft Office, willingness to learn new software platforms.
  • Strong attention to detail, time management, and organizational skills.
  • Ability to work independently and collaboratively across offices.
  • Proactive with the ability to anticipate office needs and take initiative.
