Location: New York Office

Job Summary: The Legal Assistant in the New York office supports assigned fee earners through secretarial and administrative functions. The position involves document production, legal document preparation, administrative assistance, and other general tasks to ensure the smooth functioning of legal operations.

Essential Duties and Responsibilities:

  1. Document Production:

    • Enter, revise, and draft documents for assigned legal staff.
    • Prepare and proofread legal documents and correspondence, ensuring proper phrasing, grammar, and formatting.
    • Edit documents to enhance message flow without altering meaning.
  2. Correspondence and Administrative Tasks:

    • Compose correspondence, memoranda, and routine documents for the attorney’s review.
    • Act as a liaison among the leadership team in London, clients, and external partners.
    • Answer attorneys’ phones, prioritize messages and respond or relay as necessary.
  3. Administrative Support:

    • Handle domestic and international travel arrangements, including flights and accommodation.
    • Arrange and coordinate calendars, meetings, and events for assigned fee earners.
    • Take minutes during meetings when required.
    • Maintain client and office files, displaying a high level of initiative in supporting administrative functions.
  4. Client Interaction and Database Management:

    • Coordinate arrangements for client and non-client meetings.
    • Update and maintain contact information and BD activities in the InterAction database.
    • Handle reimbursement of expenses for assigned fee earners.
  5. Billing and Financial Responsibilities:

    • Enter attorney timesheets promptly.
    • Prepare, edit, and revise client bills and ensure timely mailing of invoices.

Other Support:

  • Assist with evening secretarial work and be flexible for weekend overtime.
  • Provide backup reception coverage when necessary.
  • Collaborate with other fee earners in the absence of administrative support.

Position Specifications:

  • Education: Associate’s degree preferred.
  • Work Experience: Minimum three years as a Legal Assistant; Litigation background preferable.
  • Document Management: Experience with NetDocs is essential.
