Facilities & Office Services Manager (On-Site – Los Angeles, CA)
We are partnering with a prestigious law firm to hire an experienced Facilities & Office Services Manager for its Los Angeles office. This is a highly visible, hands-on management position responsible for ensuring the office operates smoothly while delivering a high level of service to attorneys, staff, clients, and visitors.
Working closely with the Director of Administration, the Facilities & Office Services Manager will oversee the day-to-day operations of Facilities, Reception, Food Service, and Office Services. The position will directly supervise three long-tenured employees, including a Receptionist, Chef, and Facilities Assistant, while also overseeing third-party personnel supporting document production, mail, copy, and shipping services.
The successful candidate will bring a strong combination of people management, office services, facilities operations, vendor management, and client service experience. This individual must be comfortable managing employee performance, approving timecards, negotiating with vendors, working with building management, and taking ownership of issues through resolution.
This is a fully on-site position requiring five days per week in the Los Angeles office. Typical hours are approximately 8:00/8:30 a.m. to 5:30 p.m., although the firm is primarily focused on finding someone who understands the needs of the office, exercises sound judgment, and is available when circumstances require additional attention.

Key Responsibilities
Manage the daily operations of Facilities, Reception, Food Service, and Office Services for the Los Angeles office
Directly supervise the Receptionist, Chef, and Facilities Assistant, including workload management, coaching, performance management, performance reviews, and day-to-day employee matters
Review and approve employee timecards and ensure appropriate staffing and coverage across office service functions
Oversee third-party service providers supporting document production, mail, copy, FedEx, and related office services, including service levels, performance, and issue resolution
Manage vendor relationships and contracts while monitoring service quality, costs, responsiveness, and compliance with firm expectations
Partner with building management on facilities issues, repairs, maintenance, office access, safety, and other building-related matters
Participate in lease-related matters, negotiations, office planning, relocations, expansions, and facilities projects as needed
Support office budgeting, purchasing, invoice and payable processes, parking administration, and related operational activities
Coordinate office events, food service, hospitality, conference support, and other activities that contribute to a high-quality workplace and client experience
Support emergency preparedness, safety, business continuity, and crisis management initiatives
Work closely with Human Resources, Finance, firm administration, attorneys, staff, vendors, and other stakeholders to address operational needs
Take ownership of problems through resolution, consistently following through on commitments and anticipating the needs of the office
Qualifications
Minimum 7 years of progressive facilities, office services, workplace operations, or related management experience, preferably within a law firm, professional services organization, or sophisticated corporate office environment
Demonstrated experience directly supervising employees, including performance management, performance reviews, coaching, and accountability
Hands-on experience reviewing and approving employee timecards
Strong experience managing third-party vendors and outsourced service relationships
Experience overseeing multiple office service functions such as reception, hospitality, food service, mail, copy, document production, conference services, or related workplace operations
Experience working with building management and handling facilities, maintenance, workplace, or lease-related matters
Demonstrated ability to negotiate effectively with vendors and other third parties
Bachelor’s degree preferred; equivalent relevant experience will be considered
Strong organizational, interpersonal, communication, and problem-solving skills
Exceptional attention to detail with a demonstrated record of follow-through and accountability
Sound judgment and the ability to prioritize competing needs in a fast-paced, service-oriented professional environment
Strong client-service orientation and the ability to work effectively with attorneys, staff, vendors, building management, and senior leadership
Proficiency with Microsoft Office and familiarity with facilities or workplace management systems
