Medical Records Manager (New York, NY)
We are partnering with a rapidly growing plaintiff-side law firm to hire a Medical Records Manager to support its expanding Mass Torts practice. This newly created position will oversee the intake, organization, tracking, and retrieval of claimant medical records, serving as the primary liaison between attorneys, operations, claimants, and outside medical records vendors.
This role is ideal for someone with prior law firm experience who understands the medical records retrieval process from start to finish. The successful candidate will thrive in a fast-paced, high-volume environment and bring exceptional organizational skills, attention to detail, and the ability to manage complex workflows involving claimant data, HIPAA authorizations, and provider-specific requirements.

Responsibilities:
Manage the full lifecycle of claimant medical records requests from intake through receipt
Review, clean, and standardize claimant and provider information prior to submission
Prepare and submit HIPAA authorizations and medical records request packets
Coordinate directly with medical records vendors and healthcare providers to resolve issues and monitor request status
Cure deficiencies including missing information, rejected authorizations, and provider-specific requirements
Communicate with claimants to obtain updated authorizations and required documentation
Track all records requests, follow-up activity, and receipt status using internal databases and logs
Organize and quality-check incoming medical records for completeness and accuracy
Maintain provider-specific authorization requirements, forms, fees, and portal information
Partner with attorneys, operations, intake, and technology teams to improve workflows and records management processes
Qualifications:
Bachelor’s degree preferred
3+ years of experience in medical records retrieval, litigation support, healthcare administration, claims operations, or a similar records management role
Prior law firm experience required; plaintiff-side Mass Torts, Mass Arbitration, or Personal Injury experience strongly preferred
Strong understanding of HIPAA authorizations and medical records request processes
Experience working with medical records vendors, provider portals, or retrieval platforms
Excellent organizational skills with the ability to manage high-volume workflows and detailed tracking logs
Strong proficiency with Microsoft Excel, Word, and document management/database systems
Excellent communication skills and ability to work effectively with claimants, providers, vendors, attorneys, and internal stakeholders
Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment
