Legal Administrative Assistants report to the Director of Executive and Administrative Assistants and work closely together to support the initiatives of the Firm, including, but not limited to:
- Managing correspondence between colleagues, vendors, and clients
- Answering and directing calls
- Scheduling appointments
- Preparing documents
- Maintaining spreadsheets
- Preparing invoices and reviewing backup
- Submitting expense reports and reconciling backup
- Supporting timekeeping entries for attorneys
- Organizing meetings, including managing food orders and coordinating IT support, as needed
- Supporting event planning and small group dinner coordination
Qualifications
- 3+ years of administrative experience
- Law Firm experience a plus
- Ability to build strong rapport and trust with partners, associates, and administrators
- Demonstrated ability to build relationships and work as part of a team
- Self-starter eager for responsibility
- Strong administrative and organizational skills
- Strong written and verbal communication skills
- Focused attention to detail
- A nimble approach to a fast-paced environment
- Professional demeanor and the ability to act with discretion and composure
- Flexibility to adjust hours to meet operating and business needs
- Strong knowledge of standard computer software programs (e.g., Outlook, Word, Excel, PowerPoint) with the ability to learn and support new software and operating systems
- Experience working in billing systems preferable
This is currently a hybrid position with an expectation of a minimum of three days a week in office, with the needs of the Firm informing overall office attendance expectations.
