Executive Legal Secretary – Litigation

We are partnering with a well‑established Dallas law firm to hire an Executive Legal Secretary to support multiple attorneys in the Litigation area – an excellent opportunity for an experienced litigation secretary who thrives in a fast‑paced environment and enjoys supporting complex legal workflows.

Responsibilities:
· Prepare draft documents such as briefs, complaints, motions, subpoenas, and summonses using firm templates and attorney guidance
· Coordinate multi‑document filings and format documents according to court requirements
· E‑file in both state and federal courts as needed
· Enter and maintain all case information in Court Alert, including dates and reminders
· Prepare notebooks, binders, exhibits, and other documentation as needed
· Open new client and matter files and run conflict checks with the New Business Intake team
· Organize and maintain documents in the document management system
· Coordinate document management with Litigation Support Managers or save to appropriate file locations
· Proofread documents for grammar, punctuation, syntax, and formatting consistency
· Manage calendars and assist timekeepers in meeting deadlines, providing reminders as needed
· Coordinate conferences and meetings, including room scheduling, video conferencing, meals, and materials
· Handle billing processes including time entry and billing memos, ensuring timely closure of time entries
· Receive clients and visitors and maintain excellent customer service while observing confidentiality
· Prepare materials for client meetings, update client contact lists, and assist with client questions
· Handle check requests, travel expenses, and travel arrangements including airline, car, and hotel reservations
· Process attorney admissions to required jurisdictions for court filings
· Assist attorneys with external memberships as needed
· Coordinate CLE submissions and approvals
· Read, sort, and date incoming mail and ensure timely delivery of outgoing mail
· Prepare materials for publications or speaking engagements
· Perform research using the internet or other web‑based programs
· Coordinate secretary backup support during scheduled time off
· Adhere to firm policies and procedures as outlined in firm handbooks
Qualifications:
· Bachelor’s degree preferred
· 7+ years Litigation experience required (Mid‑to‑large size firm preferred)
· Proficient in Microsoft Office Suite (Outlook, Word, Excel), document management systems (NetDocs), billing software (Carpe Diem) and expense software (Emburse)
· Solid experience working in ECF and Texas state e‑filing systems. Familiarity with state and federal rules and procedures
· Ability to prepare complex documents using advanced word processing features including styles, section formatting, merge, tables, redlining, cross referencing, indices, table of contents, table of authorities, etc
· Strong attention to detail, proof‑reading skills, organizational skills, and ability to manage time effectively
· Excellent interpersonal and communication skills and the ability to collaborate well in a team
· Self‑starter with the ability to work independently and to perform with a high level of accuracy in a high‑volume environment
· Ability to multi‑task while maintaining a quality work product, balancing workload, and meeting deadlines
· Above average customer service skills with a willingness to help others
· Ability to work overtime as needed
