One of Western Pennsylvania’s oldest and most respected law firms is seeking a full-time legal assistant to provide administrative support to the Litigation practice group in their Pittsburgh office.
The ideal candidate should have a minimum of two (2) years’ experience as a Legal Assistant with prior litigation experience in a law firm. This role requires strong organizational skills, attention to detail, and the ability to maintain confidentiality while interfacing with clients and colleagues. The assistant will manage various administrative tasks, including document preparation, and scheduling, ensuring high-quality service and professionalism in all communications.
Position Reports to: Director of Operations and Litigation Practice Group Leaders
Overall Responsibilities:
Primary duties include, but are not limited to the following:
- Provide litigation attorneys with comprehensive support in case management, discovery, and trial preparation.
- Draft, proofread, and organize a wide range of legal documents, including motions, pleadings, interrogatories, discovery responses, correspondence, and other materials related to litigation.
- Coordinate and manage legal filings—both electronic and physical—in state and federal courts, ensuring compliance with all applicable court rules and procedures.
- Calculate, calendar, and monitor all case-related deadlines; maintain accurate calendars and promptly update attorneys regarding critical dates.
- Obtain, review, and summarize medical records in compliance with HIPAA and other applicable privacy laws.
- Conduct legal research and perform cite checking to ensure accuracy and reliability of legal authorities.
- Schedule and coordinate court hearings, depositions, mediations, and other proceedings.
- Communicate effectively and professionally with clients, witnesses, experts, and internal team members, delivering exceptional client service through email, phone, and written correspondence.
- Demonstrate strong attention to detail and perform thorough self-review of all drafted materials; proactively seek clarification or guidance when needed.
- Assemble, scan, and copy documents for production in both physical and electronic formats.
- Maintain accurate and organized personal and client-related documentation, including correspondence, billing letters, expense reports, and reading files, consistent with Firm standards.
- Manage hard copy and electronic case files, including document organization, uploading/downloading materials to and from third-party platforms, and maintaining records in the Firm’s document management system.
- Exhibit flexibility and willingness to work overtime as required to meet case deadlines and firm needs.
- Perform additional duties and tasks as assigned.
Required Skills:
- Must have continual attention to detail in composing, typing and proofing materials, establishing and managing priorities and meeting deadlines
- Ability to work independently, be a self-starter and communicate effectively, both verbally and in writing.
- Effective assistance to busy law practice attorneys, to include multi-tasking and problem-solving skills
- Must possess excellent organizational skills and self-initiation
- Team oriented, flexible and creative
- Maintains positive, productive working relationships with attorneys, colleagues and clients
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and PDF software
Education and Experience Requirements:
- A minimum of two years of experience as an administrative assistant, preferably in a legal environment.
- Bachelor’s Degree or ABA approved paralegal certificate highly desired.
- Experience in litigation is highly desirable but not required.
- Strong organizational skills and attention to detail.
- Excellent interpersonal, written, and oral communication skills.
