One of Western Pennsylvania’s oldest and most respected law firms is seeking a full-time legal assistant to provide administrative support to the Litigation practice group in our Pittsburgh office. This role requires strong organizational skills, attention to detail, and the ability to maintain confidentiality while interfacing with clients and colleagues. The assistant will manage various administrative tasks, including document preparation, and scheduling, ensuring high-quality service and professionalism in all communications. The ideal candidate should have a minimum of two years of administrative assistant experience in a law firm or a professional services environment.

Position Reports to: Director of Operations and Litigation Practice Group Leaders

Overall Responsibilities:
Primary duties include, but are not limited to the following:

  • Provide excellent client service in communications with clients and executives through email, correspondence, and phone
  • Possess strong attention to detail, perform self-review and ask questions as needed in preparation of legal documents, letters and other written materials
  • Provide administrative support, including acting as a Notary Public for the execution of legal documents and client-facing materials
  • Assemble/scan/copy documents for physical or electronic production to clients
  • Assist with complex administrative tasks and calendaring management
  • Maintain personal correspondence, reading files, billing letters, expense reports, and other client-related documents according to Firm standards
  • Manage attorney schedules and keep them apprised of project deadlines
  • Manage hard copy and electronic file; document organization and maintenance, including uploading to and downloading from third-party sites, creation of new files and maintenance of existing files utilizing an automated records management system
  • Coordinate and organize activities such as internal/external meetings, travel, and conferences for attorneys
  • Open new client/matter files per Firm procedures.
  • Compose, revise, format, and edit documents as directed by attorneys
  • Overtime and flexibility may be required
  • Other duties/tasks as assigned

Required Skills:

  • Must have continual attention to detail in composing, typing and proofing materials, establishing and managing priorities and meeting deadlines
  • Ability to work independently, be a self-starter and communicate effectively, both verbally and in writing.
  • Effective assistance to busy law practice attorneys, to include multi-tasking and problem-solving skills
  • Must possess excellent organizational skills and self-initiation
  • Team oriented, flexible and creative
  • Maintains positive, productive working relationships with attorneys, colleagues and clients
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and PDF software

Education and Experience Requirements:

  • A minimum of two years of experience as an administrative assistant, preferably in a legal environment.
  • Experience in wills, trusts, probate, advance directives, powers of attorney, and estate planning is highly desirable but not required.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal, written, and oral communication skills.
