We are looking for an experienced Document Services Specialist to create standard and complex documents using any range of word processing operations to merge data, enter corrections and track changes, and performs other office and clerical duties as required. The Document Services Specialist must be well-versed in Microsoft Office (especially Word and Excel) in order to generate letters, reports, forms, and other legal documentation from rough draft, corrected copy, or voice recording. Experience with PowerPoint a plus.
Key Accountabilities
- Draft letters, briefs, memoranda, and other content in accordance with attorney guidelines
- Ability to accurately edit/input, scan, convert and format legal documents
- Ability to analyze documents and provide time estimates
- Ability to handle and facilitate formatting large excel spreadsheets into a printable format
- Perform spell checks, proofreads and/or cross-checks of documents to ensure accuracy and completeness
- Correct corrupted documents and clean documents as necessary for metadata
- Using conversion applications to convert documents to and from the standard format for all clients
- Electronically transfers and receives documents to and from clients
- Perform EDGAR filings as necessary
- Ability to assist and facilitate the SEC compliance of PDFs to a PDFA format
- Participate in ongoing interdepartmental training for all document services
- Assume responsibility to assist team in meeting client deadlines
- Maintain up-to-date knowledge of specialized applications and upgrades in order to achieve maximum efficiency and productivity with the Document Services applications
Experience and Qualifications
- Ability to organize and prioritize numerous tasks
- College degree strongly preferred
- Legal word processing experience with an advanced knowledge of Microsoft Office
- Should be analytical and possess ability to multitask within multiple systems
